KGAL SharePoint Project Accounting System

The KGAL story began in 1991 and today, as KGAL Consulting Engineers Ltd, they offer a complete structural, mechanical, hydraulic and electrical engineering service in the field of hydro-mechanical equipment, through all stages of a project from conceptual design development to final commissioning on site. Widely recognised as the UK’s leading specialist consultant in the field of hydro-mechanical design, their portfolio covers all manner of specialist moving structures and systems, including hydroelectric schemes and dams, energy turbines, water control gates (hydraulic steel structures), valves, pumping stations, moving bridges, Ro-Ro linkspans, boatlifts and bespoke construction equipment.

KGAL Consulting Engineers required a complex yet flexible Project Accounting System to provide Project Managers with a management interface to set up project and to estimate budgets, visibility of their project and real-time work in progress feedback. It also allows all staff to log timesheet, purchases and expenses.

Projects:

  • Complex Invoicing System – This user-friendly system enables Project Managers to generate invoices for projects. It enables users to raise the invoices based on a fixed price or a rate. The invoice summarises the amount claimed for each project task booked during the invoicing period. The invoices are generated based on the information presented in ‘Time’, ‘Expenses’, and ‘Job Summary’ sheets.
  • Timesheet, Expenses, and Purchase Tracking: A comprehensive tool designed to manage and record various aspects of financial and time management. The timesheet component of the system allows employees to log their working hours, making it easier to monitor time spent on different tasks or projects. This is crucial for payroll processing, project costing, and resource allocation. The expenses tracking feature enables employees to record and submit expenses incurred during their work, such as travel costs, meals, or other work-related expenses. This helps in efficient expense management and reimbursement processes. Lastly, the purchase tracking aspect of the system keeps track of all the purchases made by the employees, for the project completion. This aids in budgeting, inventory management, and financial auditing, ensuring that the KGAL’s spending is transparent, accounted for, and aligned with its financial policies..
  • Project, Work-In-Progress and Recovery Improvement: This system focuses on two primary aspects: managing ongoing tasks (Work in Progress) and continuously improving recovery mechanisms for any setbacks or challenges encountered. It employs a dynamic model where work in progress is closely monitored and optimised through constant feedback and adaptive strategies. This allows for real-time adjustments and proactive management of tasks to ensure timely completion and high-quality outcomes. By systematically analysing any setbacks and implementing lessons learned, the system fosters an environment of continuous learning and improvement. This dual focus not only streamlines workflows but also cultivates a robust framework for dealing with uncertainties, ultimately leading to enhanced productivity and organisational resilience.
