When a shared mailbox handles high volumes, emails get missed and nobody can see who owns what. Inteknix automated email tracking into SharePoint and built Power BI reporting on top — turning an untracked inbox into a live, measurable view of team performance.

The SDT team processes high volumes of emails through a shared mailbox, with no way to track, prioritise, or report on them. Important messages were being overlooked, and there was no visibility of progress, ownership, or workload.

The challenge

Without structured data behind the mailbox, there was nothing to report on — no way to measure response times, spot bottlenecks, or understand where the team's effort was going.

What Inteknix delivered

Three Power Automate flows that capture the full email lifecycle — incoming, replied, and completed — into a central SharePoint tracker, with automatic priority flagging and Teams alerts for overdue high-priority emails. On top of this, Inteknix built Power BI dashboards reporting on email volumes, spam received, top clients by volume, response and completion times, open vs completed workload, and volume trends over time.
