Most of the routine questions your team answers have been answered before. A well-built AI assistant can handle them the first time.
AI chatbot development is the design and build of custom AI assistants that answer questions, complete tasks, and reduce routine queries — for customers, staff, or both. Inteknix develops business chatbots and AI agents for UK organisations using Microsoft Copilot Studio and Azure AI, grounded in your own business data through SharePoint and Microsoft 365 integration.

The challenge
The information usually exists — in a policy document, an intranet page, a previous email — but finding it takes longer than asking someone. So the questions keep coming: to IT, to HR, to customer service, to whoever answered last time. Experienced staff spend their day answering the same questions instead of doing the work only they can do.
Generic chatbots have given the category a bad name: rigid scripts, dead-end answers, and no connection to the organisation's actual knowledge. The difference with a well-built AI assistant is that it is grounded in your real content, scoped to what it genuinely knows, and designed to hand over to a person when it does not.
That is the kind of assistant Inteknix builds — useful from the first week, honest about its limits, and improving over time.
The service
AI chatbot development includes defining the use case and audience, preparing the knowledge sources the assistant will draw on, building and integrating the assistant, and testing it thoroughly before rollout — followed by monitoring and improvement once it is live.
What you receive
Every chatbot scoping assessment produces a defined set of outputs, so you know exactly what you are paying for:
A defined use case, audience, and success measure for the assistant
Knowledge source and data-readiness findings
Recommended platform and solution approach
Integration and channel requirements (Teams, web, intranet)
Indicative scope, costs, and implementation priorities
Where it helps
The strongest chatbot use cases involve high volumes of repeatable questions or tasks, backed by knowledge that already exists. These are the areas where Inteknix most commonly builds assistants.
Give staff a single place to ask about policies, procedures, and how-to questions — grounded in your SharePoint and Microsoft 365 content, with answers that respect existing permissions.
Handle the recurring questions that fill HR and IT inboxes — leave policies, password processes, equipment requests — with escalation to a person for anything the assistant cannot resolve.
Answer common customer questions, guide users through processes, and capture the details of issues that need a human — reducing routine ticket volume without degrading the customer experience.
Go beyond answering questions: AI agents built in Copilot Studio can look up records, raise requests, and trigger Power Automate workflows — completing tasks, not just describing them.
Help website visitors find the right information or service and capture qualified enquiries — turning passive traffic into structured conversations.
Why Inteknix
Inteknix builds assistants that are grounded, scoped, and honest — connected to your real business content, restricted to what they genuinely know, and designed to escalate to a person rather than guess. That design philosophy is what separates a useful assistant from a frustrating one.
Because Inteknix specialises in the Microsoft ecosystem, custom AI chatbot and agent development sits naturally alongside your existing environment: Copilot Studio for the assistant, SharePoint and Microsoft 365 as the knowledge foundation, and Power Automate where the assistant needs to act, not just answer.
Client story
Metrisk was experiencing rapid growth in customer communications, with staff manually handling around 6,000 emails each month. As email volumes increased, the existing shared-mailbox process became increasingly difficult to manage, placing pressure on response times, staff workload, tracking and operational visibility.
The email-handling process was time-consuming, difficult to track and heavily reliant on manual review. Customer queries could be missed, there was limited reporting on email status or response performance, and the organisation’s knowledge base of common responses was not being used systematically. Metrisk needed a way to assess incoming emails automatically, respond when suitable information was available, escalate unresolved queries to staff and provide clearer visibility across customer communications.
Inteknix developed a Microsoft 365-based intelligent email-handling solution using Microsoft Copilot AI, SharePoint and Power Automate. Incoming customer emails could be automatically identified and interpreted by AI, checked against a structured SharePoint knowledge base and answered when a suitable response was available. Queries requiring human input could be escalated to staff and logged in SharePoint, creating a central customer query tracker with status visibility, unanswered-email monitoring and a foundation for future reporting.
The solution provided Metrisk with a practical route to reduce manual email handling by up to 80%, while improving response consistency, staff productivity and visibility of customer queries. It demonstrated how the organisation could move from a largely hidden shared-mailbox process to a more structured and trackable workflow — creating a scalable foundation for future growth and faster, more consistent customer service.
How we work
Inteknix delivers chatbot development through five structured stages. Each stage has a defined purpose and a clear output, so you always know where the work stands and what comes next.
STEP 1
We define who the assistant is for, which questions or tasks it should handle, and what success looks like — grounded in the real queries your team receives today.
STEP 2
We assess the knowledge sources the assistant will rely on — their quality, structure, and permissions — and the feasibility of each intended capability.
STEP 3
We agree which capabilities to build first, ranked by query volume, value, and content readiness — so the assistant is genuinely useful at launch rather than broad and shallow.
STEP 4
We design the solution: platform choice, grounding approach, conversation design, guardrails, escalation paths, and integrations — scoped and costed before any build begins.
STEP 5
We build, test against real questions, roll out to your chosen channels, and monitor usage and answer quality — improving the assistant continuously once it is live.
FAQs
It includes defining the use case and audience, preparing and connecting your knowledge sources, building the assistant, integrating it with your channels and systems, testing it with guardrails and escalation paths, and improving it after launch. Inteknix delivers the full lifecycle for UK organisations.
Cost depends on the assistant’s scope, the knowledge sources involved, and the integrations required, so Inteknix defines it after an initial discovery conversation. A scoping assessment is a contained, fixed-scope piece of work with the cost defined upfront, and the build is scoped and costed before development begins.
A scoping assessment is typically completed within a few weeks. A focused first version can often follow quickly, with capabilities added incrementally — timescales are agreed during scoping so nothing is open-ended.
Yes — internal AI chatbots are among the most valuable use cases. Assistants built on Copilot Studio can live inside Microsoft Teams or your intranet, answer questions grounded in your SharePoint content, and respect the permissions each user already has.
A chatbot answers questions. An AI agent can also act — looking up records, raising requests, and triggering workflows through tools like Power Automate. Inteknix builds both, and many solutions start as a question-answering assistant and grow into an agent over time.
Yes — that is what makes it useful. Assistants are grounded in your own content, such as SharePoint documents, policies, and knowledge bases, and answer only from those sources. Access is controlled so users only receive answers from content they are permitted to see.
Primarily Microsoft Copilot Studio and Azure AI, integrated with Microsoft 365, SharePoint, Teams, and Power Automate. This keeps the assistant inside the Microsoft environment many UK organisations already have, with enterprise-grade security and administration.
By design: the assistant is grounded in approved content, restricted from answering outside its scope, tested against real questions before launch, and given clear escalation paths to a person. Monitoring after launch identifies weak answers so the knowledge and configuration can be improved.
Yes. Usage analytics and answer-quality monitoring show what users ask, where the assistant performs well, and where it needs better content or new capabilities — and Inteknix supports that continuous improvement as part of the engagement.
