The background
Sanderson's Finance team processes hundreds of purchase orders every month, and until recently every one of them followed the same manual path: save the document, read it, extract the details, check related records, prepare the data. Because each customer uses different layouts and levels of detail, the team previously had to manually save documents, read each purchase order, extract key information, check related records, and prepare the data for further processing.
The challenge
The purchase order process was time-consuming, inconsistent, and heavily reliant on manual review. Purchase orders often contained varied formatting, missing information, or unclear details, which increased the risk of data entry errors and slowed down the Finance team’s ability to process orders efficiently. The team needed a way to automatically capture incoming purchase orders, extract key information, validate the data, and submit the purchase order into their third-party financial software without relying on repeated manual entry.
What Inteknix built
A Microsoft 365-based automation solution using Power Automate, SharePoint, AI Builder, and a Power Apps review interface. The solution monitors a designated mailbox for incoming purchase orders, captures attachments, converts files where needed, extracts key purchase order details using AI, and stores the documents and structured metadata in a central SharePoint location. It also enriches the extracted information using existing business data, allows Finance users to review, correct, and approve records, and integrates with the client’s third-party financial software to submit approved purchase orders for processing.
